Replacing paper registers with one centralized system for staff, patients, and payroll
Built a centralized, role-based web platform that replaced paper registers across departments, gave patients a self-service login to book their own appointments, and automated staff attendance tracking and salary payouts.
The challenge
Records for different departments lived on separate physical registers, so moving a patient's or staff member's record from one department to another meant physically carrying paperwork between offices. Staff attendance was tracked on paper logs that Finance and HR had to check by hand, and patients had no way to book their own appointments without calling or visiting in person.
Our approach
Rather than digitizing each department's paper register in isolation, we designed one centralized system with role-based logins, so every department worked from the same underlying records instead of its own siloed copy. Access was scoped by employee type from the start, so centralizing everything didn't also mean everyone could see everything.
The solution
We built a web-based platform with a distinct login and permission set for each type of employee, so access can be revoked for a specific role or individual without affecting anyone else, plus a separate patient login that lets patients book and manage their own appointments directly. All records are centralized and accessible from anywhere, instead of living on a physical register in one office. Staff attendance is now tracked digitally and visible to Finance and HR without checking a physical logbook, and salaries are scheduled automatically and released on their due dates instead of being processed by hand.
